Terms & Conditions

Terms & Conditions

Effective Date: August 3, 2026

Welcome to Pivotstar. By accessing our website or placing an order, you agree to the following Terms & Conditions. Please read them carefully before making a purchase.

1. General

These Terms & Conditions govern the use of the Pivotstar website and all products and services offered by Pivotstar.

By placing an order, you acknowledge that you have read, understood, and agreed to these terms.

2. Custom Orders

Every custom order is produced specifically for you.

This includes custom uniforms, team apparel, promotional merchandise, sublimated products, DTF transfers, and any other made-to-order items.

Because each order is manufactured specifically for the customer, all sales are considered final except where otherwise stated in these Terms.

3. Artwork Approval

Customers are responsible for carefully reviewing all proofs before approving production.

Approval confirms that you have verified:

  • Artwork placement
  • Colours
  • Names
  • Numbers
  • Logos
  • Spelling
  • Sizes
  • Product selection

Once artwork has been approved and production has begun, additional changes may not be possible and may result in additional charges.

Pivotstar is not responsible for errors that were present on an approved proof.

4. Customer-Supplied Artwork

By submitting logos, artwork, photographs, or other graphics, you confirm that:

  • You own the rights to the artwork, or
  • You have permission from the copyright owner to reproduce it.

Customers assume full responsibility for any copyright or trademark infringement resulting from artwork they provide.

Pivotstar reserves the right to refuse any artwork that is offensive, illegal, or infringes on intellectual property rights.

5. Colour Variations

While we strive to reproduce colours as accurately as possible, slight variations may occur due to:

  • Monitor and screen settings
  • Printing processes
  • Fabric composition
  • Dye lots
  • Ink absorption
  • Manufacturing processes

Minor colour variations are considered normal and do not constitute a manufacturing defect.

6. Sizing

Size charts are provided as a guide.

Because garments are sewn by hand, slight variations in finished measurements may occur.

Customers are responsible for selecting the correct sizes before placing an order.

We strongly recommend requesting a sizing kit whenever possible.

Sizing discrepancies resulting from incorrect size selection are not considered manufacturing defects.

7. Fabric & Manufacturing Variations

Minor differences may occur between production runs, including:

  • Fabric texture
  • Weight
  • Stretch
  • Dye lot
  • Print placement
  • Stitching
  • Panel alignment

These variations are considered normal within the apparel industry.

8. Production Times

Production times vary throughout the year.

Typical production ranges from approximately 3–6 weeks, depending on workload, order size, and product type.

Shipping time is additional.

Production timelines are estimates only and are not guaranteed unless confirmed in writing.

9. Rush Orders

Rush production may be available depending on current production capacity.

Additional charges may apply.

10. Shipping

Customers are responsible for providing accurate shipping information.

Pivotstar is not responsible for delays caused by:

  • Shipping carriers
  • Customs processing
  • Weather
  • Labour disruptions
  • Incorrect addresses
  • Events beyond our reasonable control

Risk transfers to the customer once the shipment has been accepted by the carrier.

11. International Orders

Customers are responsible for any:

  • Duties
  • Taxes
  • Brokerage fees
  • Import fees

required by their country.

12. Returns & Exchanges

Due to the custom nature of our products, custom orders cannot be returned or exchanged unless:

  • A manufacturing defect exists, or
  • Pivotstar made an error.

Claims must be submitted within 7 days of receiving your order.

Please include:

  • Order number
  • Description of the issue
  • Photographs

Failure to notify us within seven days may result in the claim being declined.

13. Promotional Products

While our custom apparel and ready-to-wear garments are proudly designed and made in Canada, certain promotional products or specialty merchandise may be sourced from trusted suppliers outside Canada.

Country of origin may vary by product.

14. Order Cancellations

Orders may be cancelled before production begins.

Once production has started, cancellations may not be possible.

Any work already completed, including artwork, setup, or production costs, may be deducted from any applicable refund.

15. Reorders

We retain artwork to simplify future reorders.

Due to normal manufacturing and dye lot variations, exact colour matches between production runs cannot be guaranteed.

16. Warranty

We stand behind the quality of our workmanship.

If a manufacturing defect is identified, we will repair, replace, or otherwise resolve the issue at our discretion.

Normal wear and tear, misuse, improper washing, accidental damage, or alterations made after delivery are not covered.

17. Product Care

Customers are responsible for following all garment care instructions.

Improper washing, drying, ironing, or exposure to excessive heat may damage garments and void any warranty.

18. Limitation of Liability

To the fullest extent permitted by law, Pivotstar's liability shall not exceed the purchase price of the affected product.

Pivotstar shall not be liable for indirect, incidental, consequential, or special damages, including lost profits, business interruption, tournament expenses, sponsorship losses, or other related costs.

19. Force Majeure

Pivotstar shall not be held responsible for delays or failure to perform resulting from circumstances beyond our reasonable control, including but not limited to:

  • Natural disasters
  • Floods
  • Fire
  • Pandemic
  • Government restrictions
  • Supply shortages
  • Labour disputes
  • Transportation delays
  • Power outages

20. Website Content

All photographs, artwork, graphics, logos, product designs, and website content remain the property of Pivotstar unless otherwise stated.

No material may be copied or reproduced without written permission.

21. Privacy

Your personal information is handled in accordance with our Privacy Policy.

We do not sell or share your personal information with third parties for marketing purposes.

22. Governing Law

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of the Province of Ontario and the laws of Canada applicable therein.

23. Changes to These Terms

Pivotstar reserves the right to modify these Terms & Conditions at any time without prior notice.

The latest version will always be available on our website.

24. Team Store Orders

Orders placed through a team store are considered custom orders and are subject to the same production timelines, return policies, and Terms & Conditions outlined on this website.

Individual team members are responsible for selecting the correct size, style, and shipping information at the time of purchase. Once production has begun, changes or cancellations may not be possible.

25. DTF Transfers

Customers purchasing DTF transfers are responsible for ensuring proper application using the recommended heat press settings, temperature, pressure, and pressing time.

Pivotstar is not responsible for application issues resulting from improper equipment, incorrect application methods, user error, or failure to follow the provided instructions.

Due to the nature of custom printed transfers, all DTF sales are final unless a manufacturing defect is identified. Any concerns must be reported within 7 days of receiving your order.

26. Sublimation Printing Services

Customer-supplied artwork will be printed as provided unless graphic design services have been requested.

Pivotstar is not responsible for errors contained within customer-supplied files, including but not limited to spelling mistakes, incorrect colours, low-resolution artwork, transparency issues, sizing, layout, or other design-related errors.

Customers are responsible for ensuring all submitted files are print-ready before production begins.

27. Wholesale Printing Services

Customers are responsible for inspecting all printed materials upon receipt and before cutting, sewing, heat pressing, or otherwise altering the product.

Once printed materials have been modified, they are considered accepted and no claims relating to printing defects, colour, or print quality can be made.

Due to normal manufacturing processes, slight colour variation (up to approximately 5%), fabric texture, shrinkage, and dye lot differences may occur and are not considered manufacturing defects.

28. Product Photography

We make every effort to accurately display the colours and appearance of our products. However, colours may vary slightly due to screen settings, lighting, photography, and individual device displays.

Product images are intended for illustrative purposes only and may not always represent every available style, fit, or product variation.

29. Customer Photos & Marketing

With your permission, Pivotstar may use photographs of completed products for promotional purposes, including our website, social media channels, printed materials, and marketing campaigns.

We will never identify individuals by name without prior consent.

If you prefer that your products or team not be featured, simply let us know—we're happy to respect your wishes.

30. Intellectual Property

Customers represent and warrant that they own or have obtained all necessary rights, permissions, and licenses to reproduce any logos, trademarks, artwork, photographs, or other materials submitted to Pivotstar.

Customers agree to indemnify and hold Pivotstar harmless against any claims, damages, or legal costs arising from the unauthorized use of copyrighted or trademarked material supplied by the customer.
